VOGSY connects concurrently with ClearRoute's localized bookkeeping systems—Xero, QuickBooks, and Sage—unifying them without a disruptive "rip and replace."

VOGSY creates invoices and syncs accounts receivable (AR) and payable (AP) transactions to the local finance systems. When payment is received, the status is fed back into VOGSY.

This gives the front office real-time visibility into metrics like Days Sales Outstanding (DSO), connecting project delivery directly to cash flow and customer satisfaction.

All financial data is automatically consolidated into a single base currency, giving leadership a consolidated view of global revenue, costs, and margins.

What was the single biggest challenge VOGSY solved?

Arina: The multi-entity, multi-currency problem. We were growing faster than our ability to understand our own business. With five entities using different accounting systems, getting a consolidated view of our financial health was manual, spreadsheet-driven. VOGSY solved that from day one by giving us a centralized hub that consolidated everything into a single base currency for reporting. It gave us back control.

Why did you choose VOGSY over other platforms like Kimble?

Arina: We looked at other enterprise systems, but as a fast-growing firm, we couldn't afford a long, complex implementation. VOGSY gave us the robust, multi-entity functionality we needed, but its intuitive interface and focus on user experience meant we could get value almost immediately. It was the right balance of power and speed for us.  

How does VOGSY handle the different accounting systems?

Arina: It connects to them all concurrently. We didn't have to force our UK office off Sage or our US office off QuickBooks. VOGSY creates the invoices and AR/AP transactions and syncs them. When an invoice is paid, that status syncs back. This gives our project managers visibility into cash flow, which is a huge advantage.  

Was it difficult to get a global team of 150+ people onboarded?

Arina: No, the process was very efficient. The initial company onboarding is a swift, structured program that the VOGSY team helps with, which gets you set up correctly from the start. After that, getting new people productive is incredibly fast. A new back-office employee, like a local finance manager, is fully operational in less than a week, which used to take months. For our end-users—consultants, project managers, and sales staff—it's even faster. Depending on their role, they are onboarded and working in the system within a couple of hours. The platform's intuitive design and integration with tools we already use help with adoption.

What advice do you have for other firms on a similar growth trajectory?

Arina: Stop using duct tape. For a while, you can get by with spreadsheets and disconnected apps, but you'll spend more time finding and correcting human errors than it costs to invest in a proper, integrated tech stack. The operational friction grows exponentially with your headcount and global footprint. Invest in a scalable operational backbone like VOGSY before the pain becomes acute.
