Here is everything you need to know about managing the contractor lifecycle in VOGSY.


1. Minimizing license costs (pausing subscriptions)

VOGSY's billing model is designed to adapt to your changing workforce, allowing you to easily pause contractor subscriptions when they are not actively working on a project.

  • Pause and reinstate anytime: You can deactivate and reactivate a user's license at any time. (Note: This also applies to internal employees taking an extended leave of absence).

  • Pay for what you use: Each month, VOGSY calculates the average number of activated users in your environment. You are only billed for this monthly average, ensuring you never pay for more licenses than you actually use.

  • Data retention: When a license is paused, all of the contractor's details and their entire history of submitted time remain fully intact.


2. Setting up and managing your talent pool

You can easily separate your external workforce from your internal team while keeping them integrated into your project workflows.

  • Role assignment: When adding a freelancer, simply mark them as an 'Employee' and assign them the Contractor role.

  • External logins: External workers do not need an email address on your company's internal domain (e.g., @yourcompany.com) to log in. VOGSY utilizes a secure mechanism to allow external accounts to access the platform safely.


3. Resource planning with contractors

VOGSY acts as a comprehensive talent pool that you can query when selling new work or ramping up a project.

  • Always accessible: You can query and search your contractor talent pool at any time, regardless of whether a person currently has an active license.

  • Skill filtering: You can attribute specific skills to contractors. When searching for the best match for a project, these skills act as helpful filters.

  • Flexible booking: For capacity management, you can soft-book contractors onto active projects, or even book them onto pipeline opportunities before a project officially exists.


4. Optimizing project delivery

When contractors are active, VOGSY ensures they are seamlessly integrated into the project team.

  • Contractor visibility: Active contractors can log in to see their own current activity planning, project conversations, and assigned tasks.

  • Time tracking: Contractors track their time directly in VOGSY, providing the project manager (PM) with a real-time view of planned versus actual hours.

  • Seamless communication: PMs can interact directly with contractors via tasks and conversations, all of which are securely maintained within the project record.


5. Optional: managing contractors as suppliers

If you want to streamline how you handle contractor billing, you can integrate it into your accounts payable (A/P) process.

  • Supplier status: In addition to having the 'Contractor' role, the individual can also be marked as a Supplier in VOGSY.

  • Invoice processing: While not mandatory, this setup allows you to accept their incoming contractor invoice and attribute the cost directly to the project.

  • A/P syncing: Once the project cost is approved, VOGSY automatically creates an accounts payable record that can be synced with your financial software.
