How to use the Billability per Employee chart in VOGSY

VOGSY’s Billability per Employee chart, together with the Billability Employees Report, provides managers with clear insights into how individual team members are performing in terms of billable work. These tools help assess utilization, ensure alignment with billability targets, and inform decisions about workload distribution and productivity.


Understanding the metrics

Both the chart and report present key metrics to monitor employee billability:

  • Actual billable hours: This represents the actual hours employees have tracked against billable projects.  

  • Planned billable hours: These are the total planned hours for the months in the chart. Switching to Forecast shows the remaining planned hours for the current month

  • Target Billability: This is each employee's desired percentage or number of billable hours. 


Interpreting the chart

  • The chart provides a visual representation of billability per employee, per year. This allows for quick identification of trends and outliers.  

  • The report offers a tabular view, listing detailed billability data month by month for each employee.  

  • You can compare actual billability against target and planned billability to see if employees are on track.  

  • Identify employees who consistently have low billability, which might indicate issues with workload allocation, non-billable tasks, or time tracking.

  • Recognize high-performing employees who consistently exceed their billability targets.

  • The chart is a "bullet chart" where you can highlight a "danger zone" to visually indicate when an employee's billability falls significantly below their target.


Utilizing filtering options

VOGSY provides filtering capabilities to refine the data displayed in the chart and report:  

  • Filter by Departments: Narrow your focus on the billability of specific departments or teams.  

  • Filter by Activities: Include or exclude specific types of activities from the billability calculation. This is useful if certain activities are considered non-billable or require separate analysis.  

  • Filter by year: View billability data for a specific year.


The YTD (Year-to-date) selection allows the view of cumulative data in the chart. When selecting YTD, you can indicate a starting month for the accumulation. This feature makes it possible to see the total over a specific timeframe (e.g., quarterly or fiscal periods).


Choosing presentation settings

The chart allows you to choose how the data is presented:

  • Percentage: Displays billability as a percentage of working hours.  

  • Hours: Shows the raw number of billable hours.

  • [Currency]: Presents the monetary value of the billable hours.

  • Sales rate: Shows the average sales rates per employee.
