How to use the Revenue actual and forecast report
The report Revenue actual and forecast combines historical and future planned hours from your projects and opportunities to provide a complete view of actual revenue and forecasted revenue.
To refresh your report, use the VOGSY ‘extensions’ feature in Google Sheets or the VOGSY add-on in Microsoft Excel.
When you launch the extension or add-on, a dialog will appear where you can:
Set a date range
Select which companies to include
Choose whether to apply weighted pipeline revenue calculations
The report generates one tab per company, each showing revenue figures in the company's own currency.
A line is shown per project, per revenue type, containing a column for the total actual revenue and two columns for each month: one with the actual revenue and the other with the forecast revenue. VOGSY calculates the data as follows:
For the project lines, the actual column multiplies all approved timesheet hours by the hourly rates for these hours as set in the projects.
The forecast column adds up the following calculations:
All the hours in your resource planning are multiplied by the hourly rates.
All project hours not planned on a resource are multiplied by the hourly rates. VOGSY spreads the unplanned order book revenue forecast equally across the remaining project timeline.
For the opportunity lines, the value of the opportunity is divided equally into the forecast columns for the months of the expected start and end date.
Important note: The hourly rates that VOGSY uses to calculate the above revenues can be a) the sales rates of the activities or b) the cost rates of the employees. Which one VOGSY uses depends on what setting you choose for revenue calculation in the accounting settings in the back office.
Column descriptions
Customer
The project's customer.
Project number
The unique identifier for the project.
Project
The name of the project.
Project manager(s)
The project manager (s) responsible for the project.
Project status
The project's status (New, Opportunity pending, In progress, or Closed).
Opportunity
The name of the opportunity.
Stage Opportunity
The stage that the opportunity is in.
Sales probability
The chance of a "win".
Company/Department
The company or department responsible for the project or opportunity.
Revenue type
The specific revenue stream of the revenue.
Total actual revenue
The total actual revenue up until the selected periods. That includes the project's opening balance.
Actual revenue Months
The actual revenue amount for the selected months.
Revenue forecast Months
The forecasted revenue amount for the selected months.
