How to track time using VOGSY timesheets

Incorrect or incomplete time tracking will have a detrimental effect on your business:

  • Over-delivery, leading to a margin decrease

VOGSY for structured time and attendance

With VOGSY, you can log time across:
- Billable work
- Non-billable activities
- Non-work time (e.g., holidays, PTO, sick leave)

VOGSY organizes billable work on projects using its work breakdown structure. This way, you will always know what client, project, deliverable, and activity you must track time on.

Sometimes, you have to work non-billable time on a project, such as sales time, on an otherwise billable project. No problem for VOGSY, as you can track work with a sales rate of zero on any project. That way, you'll track the costs but won't book the project's revenue.

When you want to log time for non-billable work, or work that is not related to a billable project, you can use one of two ways:

  1. Create an internal project to track work time. This way, you'll bundle all the hours' costs plus possible expenses for this internal project.

  2. Select non-billable activities in your timesheet. You can set these up in VOGSY's back office to meet your needs.

Track non-work time, such as holidays, personal time off, sick leave, and similar, using non-billable activities as well.


Tracking and submitting time

Your timesheet displays each working day and any previously logged hours.
Color-Coded Statuses:
- Draft – Needs review and submission
- Submitted – Awaiting approval
- Approved – All set!

You have two options now: add a new time entry or submit your time entries. The interaction is very intuitive. It asks whether this is billable or non-billable time and leads you through follow-up questions about the project to ensure you select the correct activity.

You can also leave notes for each day or for the entire week. These can then be included on the customer invoice.

You can submit time for the week up to today, including today, or the entire week.


Pre-populated timesheets

For each employee, your company can choose whether or not to pre-populate timesheets based on that person's planning.

As long as your planning on the projects you work on is up to date, submitting time can be as simple as clicking Submit.
