How to use the Billable vs Non-Billable Hours chart in VOGSY

The Billable vs. Non-Billable Hours chart in VOGSY is a powerful KPI tool that helps you analyze how efficiently your team’s time is being utilized. This chart provides vital insights into operational efficiency, profitability, and workforce utilization by clearly visualizing the split between client-billable and non-billable hours.


Understanding the chart

This chart presents a monthly breakdown of hours worked per calendar year and categorizes employee time into the following segments:

  • Billable Hours: Time spent on activities directly chargeable to a client based on the project's agreement (e.g., working on client deliverables). In VOGSY, billable hours are all hours on T&M projects that have a sales rate greater than zero, plus all hours on fixed-price projects that meet the following criteria:

  • The fixed-price project has an order value greater than zero,

  • Budgeted activities have a sales rate greater than zero.

  • The actual hours do not exceed the budgeted number of hours per activity.  

    Hours spent on projects that do not meet these criteria are considered non-billable.

  • Non-Billable Hours: Time spent on activities that are not directly chargeable to a client. This can include internal meetings, administrative tasks, training, sales activities (unless specifically tied to a billable project), holidays, sick leave, or even billable-type work that exceeds a fixed-price budget (becoming non-billable as an overage).  

  • Target Billable Hours: The total target billable hours per month. This target is calculated from all individual targets of the employees of the selected departments. With this target in the chart, you can see whether the employees are reaching the utilization targets.

  • Working Hours: The total number of working hours of selected department employees. It provides a visual reference for the part of the working hours that are being utilized.


Drill down into employees

The chart offers a drill-down view that breaks the data down by individual employees per department.

For each employee, it displays:

  • Target billable hours

  • Actual billable hours

  • Actual non-billable hours

  • Total available working hours


This chart also allows for switching between:

  • all resource

  • employees only

  • contractors only.

That's because in most companies, contractors do not track time on non-billable activities, and contractors have different billability targets than employees.
