Employees

In VOGSY, anyone who works for your company, whether a permanent employee, temporary staff member, or contractor, is considered an employee.

Each employee has a detailed record that includes: name, contact information, user type, timesheet management, roles, absence hours approver, holiday calendar, user type, and user role.

It also includes:

  • department membership (start & finish dates)

  • rates (sales, cost, and intercompany cost),

  • working hours (hours per working day)

  • billability target percentages (percentage of working hours)

  • skills (skills matrix with expertise levels)

  • leave budgets (budgets for the different types of leave and time off)

VOGSY uses working hours in automated resource suggestions, availability calculations, and activity scheduling. When you allocate an employee to a project activity, the hours are automatically planned using a daily pattern based on their working hours.

VOGSY uses seniority levels to filter employees based on experience.

Seniority levels are helpful for staffing projects and finding replacements in resource planning. They do not affect roles or permissions. You can modify the standard seniority levels (e.g., Executive, Senior, Expert, Junior, Intern) in the Skill levels back office master table.

You can assign skills and skill levels to employees. When planning project resources, VOGSY suggests employees based on the required skill and skill level. You can add employee skills in the Skills back office master table. When adding resources to a deliverable, you can filter by skills.

You can set up multiple leave budgets per employee per year or for a specific period. The employee can then submit leave requests against these budgets.


Placeholders

If you want to start planning for a project but don't know which resources to assign, use a Placeholder to reserve the necessary hours to complete the activities. A placeholder could also be an applicant who is not yet an employee.

This will allow you to get more insight into the work that must be performed. Later, you can replace the Placeholder with actual employee hours as needed.

Placeholders are added to the employee function in the back office as well.
