Price lists

In VOGSY's back office, price lists let you manage sales rates for groups of customers, based on region, country, or any grouping you choose. Alternatively, you can specify a price list for a single customer, thereby enforcing the same sales rates for this customer.

When you create a price list, you choose whether it's based on activities or employees. Activity-based price lists set sales rates per activity, and are the default. Employee-based price lists set sales rates per employee, and are intended for time and materials projects where rates are agreed individually with each employee (the bottom-up method). Once sales rates have been defined for a price list, this choice can no longer be changed. In the price list overview, the type is shown below the price list name.

You can set the validity dates (start and end) for each price list. When a project is created, VOGSY looks at the start date of the project calculation and matches it with the valid period in the price list to determine the sales rates. This lets you prepare pricing in advance, for example, for the following year. You can duplicate previous price lists to save time, using the Duplicate button. Prices can be expressed in hourly or daily sales rates.

You can extend a price list into a new period using the Extend period button. This will:

• Copy all activities (or, for employee-based price lists, all employees) and their existing sales rates into the new period.

• Let you update prices automatically, either by:

  • Increasing them by a percentage, or

  • Adding a fixed amount to each rate.

Use Index rates to update all rates in the current period without creating a new one.

Use Update rates of all associated projects to push the current rates of a price list to all active (non-closed) projects linked to it. This applies to both activity-based and employee-based price

For time and materials projects priced using the bottom-up method, sales rates are agreed per employee rather than per activity. Employee-based price lists let you register and manage these rates, and update them mid-project, for example when an employee's rate is indexed.

An employee-based price list can be linked to a customer, as the default for that customer's bottom-up projects, or directly to an individual project.

Within a period, use Add employee to search for and add an employee to the price list, and set their sales rate.

The Extend period, Index rates, and Update rates of all associated projects buttons work the same way as for activity-based price lists, applied to employees instead of activities.
