How to set up activities in VOGSY

Activities are critical to your project work breakdown (WBS) structure. Their cost and sales rate form the basis for quote calculations and project budgets.

Activities appear in your rate card and can also be used to populate quotes and invoices,

It's important to have a good naming convention for your activities to make time tracking easier and prevent errors in invoicing customers.


Choose your activities wisely! For most organizations, the optimal number of activities is between 8 and 12.

If you have less than 12, you can't differentiate enough; with more than 12, choosing between activities becomes difficult for users.


How to define billable activities

You define an activity with these parameters:

  • Activity name,

  • Description,

  • Hourly cost and sales rates per currency

You can specify a cost and sales rate for each currency in your company structure.

VOGSY uses these cost and sales rates when calculating a project in the currency of that project.

If you're using daily sales rates, the option appears to fill in the daily sales rates per activity per currency. The hourly sales rate is the daily rate divided by 8 hours.



Activities for internal projects

Every organization runs internal projects. For those internal projects, you can use the activities defined for your billable projects.

If you don't want the metrics for your billable activities mixed up with internal activities, you can create a separate set of activities for these internal projects.

Another option would be to define non-billable types for your internal activities.


Deleting activities

Once created, you cannot delete an activity. However, there is the option to archive activities.

The historical metrics regarding archived activities stay untouched. Archiving doesn't change historical records.

However, archiving does prevent the activity from being chosen again for a project budget in the future.


Activities and bottom-up calculations


Some organizations calculate and invoice based on the allocated employees' sales rate rather than the activity's sales rate.

It's good to know that VOGSY offers this option. You can switch on this "bottom-up calculation" option for each project separately.
