A process diagram of VOGSY's 4-step onboarding methodology, showing the progression to the second stage. The steps are shown in order: Step 1: Learn; Step 2: Map; Step 3: Populate; and Step 4: Communicate. The timeline leading to 'Step 2: Map' and the 'Map' box itself are highlighted in teal, indicating that 'Learn' is complete and 'Map' is the current, active stage.

Step 2: Map your business

In Step 1, you learned the core concepts of the VOGSY platform. Now, in Step 2, you will translate your unique business processes into VOGSY’s structure.

The goal of this Step is to configure VOGSY so it aligns perfectly with your company's goals and day-to-day operations.

How to map VOGSY

Mapping your business is a hands-on process of configuration and testing. Follow these three steps to ensure VOGSY is set up correctly for your needs.

  1. Configure Your Settings. Use the Setup Assistant as your guide. It will walk you through all the necessary VOGSY settings, options, and configurations in a logical order. This is where you will make foundational decisions based on your business processes.

  2. Create and Test with Real-World Examples

    - Once your initial configuration is in place, create a few representative examples of your business data. This could include a sample customer, a typical sales opportunity, and a standard project.
    - Use this sample data to run through your key business processes from start to finish. For example, convert the opportunity to a project, log time against it, and generate a draft invoice.

  3. Validate the Outcomes
    - As you test, critically assess the results. Does the workflow feel right? Is the information produced by VOGSY giving you the actionable insights you need to run your business? The goal is to ensure you can act upon the data VOGSY provides.

Cleaning Up Your Test Environment

As you test, your trial environment might become cluttered with sample data. If you wish to start fresh, you can easily reset it.

  • What it does: The reset function will wipe all test data (like projects and timesheets) but keeps all of your settings and configurations.

  • Where to find it: This function is available in the "Back office" section.

Next Step: Populate VOGSY

Once you have verified that your critical business processes are configured correctly and that VOGSY is producing the actionable insights you need, you are ready to move on.

The next step is to populate VOGSY with your complete, real-world business data.
