How to create a new project in VOGSY

The VOGSY philosophy

One of VOGSY’s principles is that we put front office teams in the driver’s seat. That’s why we give account and project managers the tools and data they need to drive business decisions.

VOGSY helps answer questions like:

  • Did we plan everything that needs to be done to meet customer expectations?

  • How can we break this project into manageable deliverables?

  • What resources, in-house or contractors, have the skills, experience, and availability to do the job?

  • Will the project create the margins that we require and finish on time?

  • Is the billing set up right for our needs, and is it acceptable to the customer?

There is no need for lengthy handovers between the front and back offices. Your customer and project teams will be agile with VOGSY data. 


How to start a new project in VOGSY

You can create a new project in one of two ways:
- From the home screen: click ‘New’ in the top left, then select ‘Project’
- From an opportunity record: click ‘Create Project’.

You'll start by entering high-level project information. Once created, you can begin adding deliverables, including:

  • Timeline

  • Calculation of hours per activity

  • Additional cost budgets

  • Resource allocation

VOGSY automatically rolls these into a total project plan.


Types of projects

VOGSY is very flexible and supports a wide range of project types:

  • Short-term or multi-year projects

  • Single-resource or multi-country team efforts

  • Retainers with recurring monthly budgets

  • Milestone-driven or task-heavy initiatives

  • Fixed price or Time and Materials

  • Budget-driven or time-constrained

  • Top-down pricing or bottom-up per employee

  • Just a bunch of hours vs highly detailed with multiple tasks per team member

  • External project or internal projects

  • Billable or non-billable projects


Projects automate your Statement of Work

VOGSY supports your presales efforts. You can:
1. Create an "opportunity project" with full calculations, timelines, and capacity planning.
2. Generate a quote.
3. Automatically produce a Statement of Work (SOW).

Projects often begin in the opportunity phase. Learn more about opportunities here.


It's always possible to associate a project with an existing opportunity or create an opportunity when entering a project.


"Global Projects" and revenue sharing

VOGSY makes it easy to manage international projects across multiple companies and departments.

  • The lead contracting company is set at the project level and determines the default currency.

  • Deliverables can be assigned to other companies or departments in different countries with separate currencies.

  • -Each company’s revenue is tracked per deliverable, supporting accurate intercompany revenue sharing.


Resources can also be shared between companies, with the option to apply intercompany rates.


Time and Materials or Fixed Price.

Each deliverable can have its own billing method:
- Time & Materials (T&M)
- Fixed Price
- Or a mix of both within one project


ìnvoice at the deliverable or project level

Most organizations opt for a structure where the deliverables match customer financial agreements. So, they choose to set the invoicing level with deliverables.

Sometimes, the financial agreements on a fixed fee for the entire project are independent of the work breakdown structure. Then, it's wise to choose to invoice on the project level.


Super fast creation with templates

Using templates for projects and deliverables can speed up the creation of projects.

Entire projects, including deliverables and calculations, can be saved as a template. A single deliverable can be saved as a template as well. You can use both when setting up a project.


Duplicating deliverables


Another option to speed up the creation of projects is to duplicate deliverables within that project when you need multiple deliverables, e.g., monthly recurring budgets for retainers.
