How to use the project planning view in VOGSY
VOGSY's project planning tools include a Gantt-style project planning view that provides a comprehensive timeline of all active projects and their associated planned hours. This view helps project managers spot resource gaps, identify scheduling issues, and adjust planning as needed.
Planning view per project and for all planned projects
The project planning view has two entry points. One in the project card and one overall project planning in the menu. The one in the project you can reach through the planning icon in the project card. This view shows the entire project plan for that project.
This article will focus on the overall project planning view that is accessible through the VOGSY menu. This view displays all projects with planned resources. Projects without planned resources will not appear in this view.
Two types of planning views
VOGSY offers two views for planning:
Planned + Actual Hours View
Scroll back to see actual hours logged in past weeks.Planned Hours Only View
It shows what was initially planned in previous timeframes without actuals.
Use the arrow buttons in the top-right corner of the screen to navigate forward or backward in time.
Drilling down into the planning
Within the Planning Projects view, clicking a project displays its deliverables. Clicking a deliverable shows its activities, tasks, and allocated resources.
At the lowest level, click a cell to edit the weekly plan for a specific resource.
Furthermore, these buttons give you access to the following features:
Resource planning button
This button shows the resource planning for the resources planned on this project. If the project is delayed, you want to check if the resources on this project can continue working on the project. With this button, you have immediate insight into whether they are allocated to other projects.
Calculation button
With this button, you navigate to the calculation of the deliverable. You can change the budget when you need more or fewer hours for an activity. Or you want to change the allocation of a resource or change the resources on a deliverable.
New task button
This button allows you to create a new task under that activity. Tasks are the deepest level of the VOGSY work breakdown structure.
Hours to plan button
When a resource has hours to plan for an activity, it means that this resource has fewer hours planned over time than were allocated to this resource. With the hours to plan button, you can directly plan the hours that still need to be planned.
Configuring the columns of the project planning
By default, all optional columns are hidden. You can enable them based on what you need:
Start date. The project's start date, deliverables, activity, and planned resources. When a project or a deliverable has a start date in the future, it is possible to reschedule the entire project or deliverable.
Finish date. The project's finish date, deliverables, activity, and planned resources.
Calculated/Allocated. The number of hours calculated on an activity and the number of hours allocated to the individual resource.
Hours spent. The number of submitted and approved hours per resource is added up per activity, deliverable, and project.
Hours in draft. The number of hours that the resources have left to submit.
Planned. The number of hours planned for future weeks and days.
Hours to plan: The number of unplanned hours per resource, as well as the total number per activity, deliverable, and project.
Automated bulk reschedule
Rescheduling an entire project or deliverable is possible in VOGSY. A rescheduling link appears if a project or deliverable has a future start date. Click it to:
Choose a new start date.
Automatically shift all planning data to align with the new timeline.
Sorting and filtering
You can sort the Gantt view in three ways: by project start date, project finish date, or customer name. With the first two sorting options, you can see which projects start in the coming days and weeks and which projects will finish in the coming days and weeks.
With the filters on department, project statuses, or project managers, you can limit the list of projects in the project planning view.
This makes it easy to focus on the most relevant projects or team members.
