This month's major update is the all-new VOGSY Back Office! We've redesigned it with a clean, modern look and added new features. Explore what's new below.
A Modern interface and improved navigation
You'll first notice the comprehensive overhaul of the user interface. We've rebuilt the UI from the ground up to deliver a cleaner design and more logical navigation. While it looks different, rest assured that all the functionality you rely on remains the same.
To help you adapt, the new back office (in red) and the old Backb office (in cyan) will be accessible side-by-side from your main menu until October 1st, 2025.
The new back office homepage
The centerpiece of this release is the new dynamic homepage, designed to bring critical information to your fingertips.
❗ Insights into (Over)due Actions
Ensure pending user actions never block your business processes. This new homepage widget helps you monitor critical tasks to keep your workflows moving smoothly. It provides a clear, centralized list of all pending items requiring execution, such as:
- Timesheet submissions
- Timesheet approval requests
- Draft invoice approval requests
You can see exactly what's needed and who needs to act, allowing you to follow up and ensure that key financial and project processes never stall.
✅ Integration health
Manage your data syncs proactively. The dashboard will alert you to the health of your integrations. If an issue arises, you'll see a "pending messages" notice with a direct link to resolve the problem, giving you full control and transparency.
📊 User License Count
Get an immediate and accurate view of your license usage. This widget shows the number of users assigned to each license type and allows you to drill down to see who holds a license, simplifying user management.
📢 Release notes
Stay informed about the latest improvements. New release notes will be announced and accessible directly from the home screen, so you never miss an update.
New features added
In addition to the redesigned Back Office, we've rolled out several new features to enhance your financial management, reporting, and client-facing documentation:
Extended language options for documents
To help you create fully localized quotes and invoices, we've added the option to configure text for key data fields in different languages.
You can now set language-specific text for the following items:
- Activities
- Cost types
- Payment conditions
- VAT text
This enhancement lets you present a completely professional and clear document to your international clients, ensuring every detail is understood in their native language.
Provisions added to the project opening balance
Achieve greater financial accuracy from the start. You can now include provisions for costs and revenue directly within a project's opening balance. This ensures your initial revenue and subsequent forecasts are more precise, providing a true picture of project financials from day one.
Report 'Margin forecast'
Stay ahead of your financial performance with the new Margin Forecast report. This powerful report calculates your actual and expected margin by analyzing past performance and future projections. It considers actual costs and revenue derived from time entries and other expenses tracked on the project, while forecasting future figures based on remaining planned hours and other calculated costs. This complete financial picture gives you the foresight to make proactive decisions, mitigate risks, and ensure your projects stay on target financially.
Manual Payment Processing for Invoices
We've added a powerful new capability for managing your finances directly within VOGSY. You can now process a payment against Accounts Receivable (customer invoices) and Accounts Payable (vendor bills).
This feature allows you to mark invoices as partially or fully paid, ensuring that the outstanding amounts shown in VOGSY reflect the actual, current financial status. This is especially beneficial if you do not have an accounting integration active, as it closes the loop on your project financials without leaving the platform.
