This month's release focuses on giving you more control over your financial data, smarter planning tools, and a more consistent experience across VOGSY. We've introduced several new features — including AI-powered replanning directly from the project planning view, financial totals in planning, and a new Practices layer for reporting — alongside a number of improvements and bug fixes that make day-to-day work smoother.

Highlights:

  • Group companies and departments into Practices for faster, consolidated reporting across business units
  • The AI Replanning Agent is now available directly in the project planning view with predefined prompts and iterative refinement
  • Financial totals are now visible in the planning view, giving project managers an at-a-glance financial overview
  • Select the actual payment date when marking invoices or expenses as paid for more accurate reconciliation

New features

  • Practices: Group companies and departments for reporting VOGSY now supports grouping companies and departments into Practices — a higher-level organizational category designed for businesses that operate multiple teams or business units under a shared practice area. Instead of manually selecting dozens of individual departments when running reports, you can now filter by Practice to get an instant, consolidated view of performance across the entire group. This is particularly useful for organizations with vertical structures such as specialist practices within a consultancy. Practice filters are also available in the back-office reports, so you can use them consistently across all reporting in VOGSY.

  • AI Replanning Agent: Reschedule work from the planning view The AI Replanning Agent is now accessible directly from the deliverable level in the project planning view. When hours or budget need to be redistributed, you can trigger the agent, choose from predefined replanning prompts, and review the suggested rescheduling before accepting it. You can also iterate on the result to fine-tune the outcome. This makes it significantly faster to adjust project plans when timelines or resource availability change.

  • Expense reference number for Xero sync When verifying expenses in VOGSY, you can now enter a manual invoice reference number that will be passed through to Xero upon approval. This eliminates the need to manually open and update each expense in Xero after syncing, making batch payment processing faster and reducing the risk of errors during reconciliation.

  • Select the actual payment date when marking items as paid When marking an invoice or expense as paid, you can now select the actual payment date rather than having the system record only today's date. This is especially useful when payments are instructed in advance of processing — you can enter the exact date the funds left the bank, keeping your financial records and reconciliation accurate. Please note that this feature is only available when no accounting integration is active. When an accounting integration is enabled, accounts payable and accounts receivable are updated automatically as payments are made or received.

  • Financial totals in planning views Project managers and team leads can now see financial totals directly within the planning view. Revenue and cost figures are displayed alongside resource planning, giving you an immediate financial overview without switching to a separate report. Access is controlled by the existing "Can see financial data" permission.

Improvements

  • Faster and more efficient AI replanning The AI Replanning Agent now responds faster and processes requests more efficiently thanks to improvements to the underlying AI model and smarter data handling. For users, this means shorter wait times when rescheduling hours or budget across deliverables.

  • Absolute timestamps on comments Comments throughout VOGSY now display the exact date and time they were posted when hovering over the relative time indicator. This makes it easier to reference specific comments in conversations with colleagues or clients without needing to guess when something was written.

  • Contacts in organization view sorted alphabetically The list of contacts on an organization's record is now sorted alphabetically by name, making it much easier to find the right person — especially for organizations with a large number of contacts.

  • Project names in planning view now show full name on hover Long project names in the project planning column are no longer simply cut off. Hovering over a truncated name now displays the full project name in a tooltip, consistent with the behaviour already available in the resource planning view.

Bug fixes

  • Billability report now correctly accounts for public holidays The "Report billability per week" data view was showing 40 working hours for weeks that included a public holiday, instead of the correct reduced number. This has been fixed — weekly working hours now accurately reflect your configured holiday calendar.

  • Incorrect totals in resource planning corrected In some cases, the resource planning view displayed incorrect hour totals. This has been resolved — the totals now correctly reflect the actual planned hours for all resources.

  • Large hour values now display correctly in the allocation dialog When entering a large number of hours in the allocation dialog form, the value was being cut off and not fully visible. The field now accommodates large inputs so the full amount is always displayed correctly.

  • Resource planning now shows allocations beyond 2026 The resource planning view was cutting off at the end of 2026, even when project hours were planned into 2027 and beyond. Scrolling further right also resulted in a blank screen. Both issues have been resolved — the resource planning view now correctly displays allocations for 2027 and future years.

  • Merged invoice attachments now visible in the invoice archive When using the "Merge all attachments into a single PDF" setting, the merged file was sent correctly to the client but was not saved in the invoice archive in VOGSY. As a result, the archived invoice was incomplete. This has been fixed — the archive now stores the same merged PDF that was sent to the client.
